Power Automate, digital transformation saves money and time

In today’s rapidly changing business environment, efficiency is the key to success. Businesses face increasing demands for flexibility, speed and quality – and that’s where Microsoft’s Power Automate comes in.

Would you like to introduce order in your company in the review and approval of various documents, orders or contracts? You need an electronic system that eliminates running from door to door, from department to department. Waiting to see which colleague will review the document and when, or when the boss will return from a business trip to sign the document, will become a thing of the past.

A new tool that enables businesses to automate everyday processes may already be part of the Microsoft 365 licence you use. It saves time, reduces errors and increases employee productivity. Essentially, Power Automate transforms the way businesses work and helps them achieve more with less. In the following lines, we’ll walk you through what it can do.

Automation saves time and increases efficiency

Most employees spend up to 20 percent of their working time on repetitive, routine tasks. With the new platform, they can automate these processes and make room for more important, creative and valuable tasks.

“Power Automate is designed to enable businesses to automate day-to-day operations such as processing, approving and scheduling applications and invoices without unnecessary complications. The tool allows the creation of so-called automated flows that are triggered by certain conditions or events. These are, for example, the receipt of an email, a file change or the completion of a form,” explains Martin Hála, Business Unit Manager | Software & Cloud at TD SYNNEX.

In addition, the system integrates easily with a range of other applications, meaning businesses can immediately start streamlining their processes and achieving efficiencies without the unnecessary cost of implementing it.

Main advantages of Power Automate

For companies, this tool is advantageous not only in terms of time savings, but also in terms of increased productivity and quality of work. By automating routine tasks, employees can focus more on strategic activities that bring more added value. In addition, the risk of human error is reduced, leading to more accurate and reliable results.

Another benefit is better utilisation of the capacities of employees, who can invest more time in creative tasks, which contributes to an overall improvement of the working atmosphere. Companies are also seeing significant positives in process transparency and project management, as automated solutions provide accurate and up-to-date information.

How it helps in the real world

Application approval is one of the processes that Power Automate simplifies. Instead of manually going through emails or forms, this tool, in conjunction with the Approvals module, automatically sends the approval request to the right person and ensures that everything is done in real time. The system therefore minimises delays and errors, saving time and increasing efficiency.

Another example is room booking. In companies with multiple teams, manually entering them can cause chaos. The platform synchronizes employee calendars with workspace availability, eliminating issues such as double bookings. This simple step can save up to 5 hours of time per month that employees spend planning and organizing.

For industrial companies, the new tool offers a solution for machine monitoring and outage prevention. Using sensors, key values such as temperature or pressure are monitored and if set limits are exceeded, an alert is immediately triggered for maintenance personnel, minimising repair costs and unplanned downtime. This eliminates up to 50 percent of potential outages.

Power Automate also greatly simplifies the processing of invoices. Their automatic sorting and integration into ERP systems speeds up financial processes and minimises administrative errors. Businesses of all sizes can save time and reduce administration costs in this area by up to 60 percent.

The new tool can also generate various reports for management on a regular basis. Compiling them manually usually requires a lot of time and attention. The system can work with the data independently, automatically generating reports and sending them to team members or management, ensuring that everyone has up-to-date information in a timely manner. This reduces the error rate that typically accompanies manual data processing, and automation saves approximately eight hours of time per month per employee.

Flexibility to suit everyone

Power Automate is available as part of various Microsoft 365 packages (Business Basic, Standard, Premium) and also as a standalone service. The basic features are also available in the lower license editions, but for more advanced needs the client can choose the premium licenses, offering more robust automation options.

“There are licenses for individuals who need to create and manage automations, as well as process licenses that allow companies to automate specific business tasks regardless of the number of users. This means that Power Automate adapts to the needs of your business, whether it is a small business or a large corporation,” Martin Hála explains the details.

How to get started with a new platform

Using the automation tool is very easy. It offers a number of pre-configured templates that allow the customer to quickly start the first activities, such as sending notifications or approving requests. Power Automate can also be integrated with Microsoft Teams, SharePoint and other applications, giving you the flexibility you need to manage processes efficiently.

“It’s better to start with simpler tasks such as automatic replies to emails or scheduling appointments, and gradually move on to more complex solutions,” recommends Martin Hála from TD SYNNEX. The platform is designed to be accessible to users without technical expertise, meaning that every team in the organisation can benefit from its advantages. Power Automate is more than just an automation tool. It’s a system that can be a critical key for companies in their digital transformation. Employees can focus on the tasks that truly deliver value, and that ultimately means boosting the competitiveness of any company that starts using it to its full potential.
